This Privacy Policy explains how Cyprus Fertina IVF Ltd. (“Fertina IVF”, “we”, “us”) collects and uses personal data when you visit this website (uk.fertinaivf.com) or contact us about treatment. We have written it with visitors from the United Kingdom in mind, and we apply the standards of the UK General Data Protection Regulation (UK GDPR) to the personal data of UK visitors.

1. Who we are

2. What we collect

• Contact details you give us, your name, email address, and phone number, when you send the enquiry form, email us, request brochures, or message us on WhatsApp.
• Health information you choose to share with us when describing your situation, for example your age, fertility history, or test results. This is special category data and we handle it with strict confidentiality.
• Website usage data, pages visited, device and browser information, collected through analytics cookies if you consent to them.
• Advertising click identifiers (such as the Google Ads “GCLID”), used to understand which advertising brought you to us and to measure enquiries. A visit reference code may be included in the pre-filled text of a WhatsApp message you send us.

3. How we use your data

• To respond to your enquiry and provide information about treatment (performance of steps at your request prior to entering into a contract).
• To provide medical consultation and plan treatment, based on your explicit consent when you share health information with us.
• To measure and improve our website and advertising (consent, via the cookie banner).
• To send you brochures or information you have requested.

We do not sell your personal data, and we do not use your health information for advertising.

4. Who we share data with

We use a small number of service providers to operate this website and respond to enquiries:

• Formspree (enquiry form delivery) and Make.com (brochure delivery), which process the details you submit.
• Fillout, if you complete our consultation request form.
• WhatsApp (Meta), if you choose to message us there; WhatsApp’s own privacy policy also applies to that conversation.
• Google (Google Analytics 4 and Google Ads), for consented analytics and advertising measurement.
• Tagless, our visit and conversion measurement service, which links an advertising click to an enquiry using a reference code.
• Cloudflare, which hosts and secures this website.

5. International transfers

We are based in the TRNC, which is not covered by a UK adequacy decision, and some of our service providers process data in the EU or the United States. Where we transfer your data, we rely on your explicit consent (which you may withdraw at any time), the necessity of the transfer to respond to your enquiry and provide the services you request, and, with our service providers, contractual safeguards such as standard contractual clauses where applicable.

6. How long we keep your data

Enquiry correspondence is kept for up to 2 years after our last contact, unless you become a patient, in which case medical record retention rules apply. Analytics data is retained according to the settings of our analytics provider (currently up to 14 months). You can ask us to delete your enquiry data at any time.

7. Your rights

Under the UK GDPR you have the right to access, rectify, and erase your personal data; to restrict or object to processing; to data portability; and to withdraw consent at any time. To exercise any of these rights, email contact@fertinaivf.com. You also have the right to complain to the UK Information Commissioner’s Office at ico.org.uk.
